1. Who we are

2. What we collect

• What you send us through the contact form or by email: your name, email address, company (optional) and your message.
• What you write to the chat assistant on the website. If you ask us to follow up, also your email address, your name (optional) and your request.
• Technical data that our hosting provider logs when you visit, such as IP address, browser type, time and the page requested.

3. Why we use it

• To read and answer your message. Our basis is our legitimate interest in answering enquiries, and steps you ask us to take before a possible agreement.
• To answer your questions in the chat and handle support requests. Our basis is our legitimate interest in answering enquiries, and for support requests the consent you give in the form.
• To keep the website secure and working. Our basis is our legitimate interest in running a reliable service.

4. Cookies

The public website does not set cookies and has no analytics or advertising trackers. A session cookie is used only when Zaxvix staff sign in to the administration area. If we add anything else later, we will update this page first.

5. Who we share data with

We use hosting and email providers to run the website and receive your messages. We do not sell personal data. We share data with authorities only when the law requires it. We aim to keep data within the EU/EEA. If a provider processes data outside it, we rely on a lawful transfer mechanism such as the European Commission’s Standard Contractual Clauses.

The chat assistant uses an AI service from Anthropic, which processes the chat messages on our behalf to write the replies. The assistant is an AI and its answers can be wrong; you can always ask for a person.

6. How long we keep it

Messages are kept for up to 24 months after our last contact with you, longer only if we have an ongoing business relationship or the law requires it. Server logs are kept only as long as needed for security and troubleshooting.

Chat conversations that do not lead to a support request are deleted after 30 days. Support requests and the conversation behind them are kept like other messages, and you can ask us to delete them at any time.

7. Your rights

You can ask for access to your data, correction, deletion, restriction or a copy of it, and you can object to how we use it. Write to hello@zaxvix.com. We may need to confirm who you are. You can also complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY).

8. Changes

We may update this policy. The current version is always published here with its date.
